This wikiHow teaches you how to edit PDF files using Adobe's proprietary Acrobat Prosoftware or by converting a PDF file to Word format in Microsoft Word. Less robust, but free, options include Preview for Mac and CutePDF online, which can manipulate PDF files but don't offer text editing. Acrobat Reader DC, Adobe's free PDF software, offers little more than the ability to annotate or add signature boxes to PDF files.

  1. Open a PDF document in Adobe Acrobat Pro. Do so by opening the white Adobe Acrobat app with the stylized, red A icon. Then click on File in the menu bar at the top of the screen, click on Open..., select the PDF document you want to reduce in size and click on Open.

    Click Tools at the top of the window.

    Click Edit PDF near the upper-right part of the window. A menu with editing tools will appear along the right side of the PDF document.

    Use the "FORMAT" tools to edit text. Highlight the text you wish to edit and:
    • Click the drop-down below "FORMAT" to change the font
    • Click the size drop-down to change the text size
    • Click the square color switch to change the text color
    • Click the "bulleted list" drop-down to create a bulleted list
    • Click the "numbered list" drop-down to create a numbered list
    • Click an alignment icon to change a paragraph to left, center, right, or fully-justified alignment
    • Click the "Line spacing" drop-down to increase or decrease the space between lines of text
    • Click the "Paragraph spacing" drop-down to increase or decrease the space between (after) paragraphs
    • Click the "Horizontal scaling" drop-down to increase or decrease the width (percentage) of the highlighted characters
    • Click the "Character spacing" drop-down to increase or decrease the space between individual text characters
    • Not all elements of a PDF may be editable.

    Use the "OBJECTS" tool to edit images and objects. Select the object you wish to edit and:
    • Click "Flip vertical" to invert the object up or down along a horizontal axis
    • Click "Flip horizontal" to invert the object from one side or another along a vertical axis
    • Click "Align objects" drop-down to arrange multiple objects on the page with one another
    • Click "Rotate counterclockwise" to rotate the object to the left
    • Click "Rotate clockwise" to rotate the object to the right
    • Click "Replace image" to insert another image in place of the one you selected
    • Click "Arrange objects" to change the object's page layer in relation to other text and objects
    • Not all elements of a PDF may be editable.

    Click File in the menu bar and Save.

Using Microsoft Word 2013 or 2016

    Open Microsoft Word. Do so by clicking on the blue app containing or shaped like a W.

    Click on File in the menu bar at the top of the screen.

    Select the PDF file you want to convert to Word.

    Click on OK. The file you selected will be converted to an editable Word document.[1]
    • As with any PDF conversion, the converted document may look different from the original and some manual adjustment may be necessary.

Using Preview on Mac

    Open a PDF document in the Preview app. Do so by double-clicking on the blue Preview icon that looks like overlapping snapshots, then clicking on File in the menu bar and Open... in the drop-down menu. Select a file in the dialog box and click on Open.
    • Preview is Apple's native image viewer app that's automatically included with most versions of Mac OS.

    Click Tools in the menu bar at the top of the screen.

    Click Annotate. It's in the middle of the drop-down menu.

    Click Text. It's in the middle of the drop-down menu. A text box with the word "Text" will appear in the middle of the document.
    • A toolbar will appear at the top of the window.

    Click on and drag the text to position it where you want it on the document.

    Click A. It's on the right side of the toolbar just above the document. A dialog box will open.

    Type the text you'd like to add to the PDF document.

    Use the cursor to place and size the signature. Click on the document when you're done.

    • Click Adjust Size... to make text larger or smaller
    • Click Rotate Left to rotate the entire document counterclockwise
    • Click Rotate Right to rotate the entire document clockwise
    • Click "Flip Horizontal" to invert a selected object from one side or another along a vertical axis
    • Click "Flip Vertical" to invert a selected object up or down along a horizontal axis
    • Click Crop to leave the selected text or object visible and mask the rest of the PDF document
    • Not all elements of a PDF may be editable.

    Click File in the menu bar and Save in the drop-down menu. Your text additions are now saved in the PDF document.

Using CutePDF

    Go to https://www.cutepdf-editor.com in a Web browser.
    • CutePDF requires a browser with Adobe Flash enabled

    Scroll down and click the blue Start to Edit Your PDF File Now - FREE! button.

    Click Open File, select a PDF and click Open.
    • CutePDF is limited to editing files 5 GB or smaller.
    • Click Advanced Tool to rotate or delete a page or move it within the document.
    • Click Extract Pages to save selected pages in a separate PDF file
    • Click Rotate Pages to change the orientation of pages in the PDF
    • Click Resize Pages to make pages larger or smaller
    • Click Insert Blank Page to add an additional page in the document
    • Click Delete Pages to remove pages from the document
    • Click Crop Pages to remove extra white space, unwanted text, or images from pages in the document
    • Click Security to add a password to the document
    • Click Merge PDFs to combine the open PDF with another document
    • Click Header & Footer to add page numbers, titles, or footnotes to the document

    Click OK in the lower-right corner of the dialog box to apply the changes.

    Click Save and then Save to save the changes you made.
